Gala Entry Instructions

1. Check the programme of events to see how the events run for your age.

2. Decide on the events that you wish to enter.

3. Check if you have achieved the qualifying standard times.  Remember to use Long Course (50m) or Short Course (25m) times appropriately.  When necessary you can convert your times using the SportSystems software.  The link to this can be found at the bottom of this page.

4. Fill out the gala entry form.  Include all the information requested:-

  • Swimmer name
  • Age on day
  • Date of birth
  • Membership Number
  • Gender
  • Squad Information

As well as:-

  • Ticks for events to enter
  • Times LC or SC as appropriate to the gala*
  • Total number of events entered
  • Total cost

And just as important:-

  • Emergency contact name
  • Emergency contact number
  • Parent/Guardian signature

(*If you do not have a time for a particular event then please speak to your Coach prior to handing in your form to an appropriate person)

5. Hand the form to Dot Houston(D Squad only), Club Competition Secretary or any Squad Rep with the correct fee (cheques are preferred made payable to South Tyneside Swimming Club) before the closing date stated on the entry form.  Please don't leave it to the last minute because the Club entry has to be processed and sent to the Gala organisers before their deadline.  (A list of STSC closing dates can be found on the events page of the website.) Parents/swimmers should not contact Meet Entry Managers directly.  Gala entries must be submitted via the Club Competition Secretary.

It is the responsibility of each swimmer to ensure their gala entry forms are fully completed and handed in, to an appropriate person, with the relevant entry fees prior to the closing date given on the form.  If you need assistance with any of the details please speak to your Coach, Squad Rep or Competition Secretary prior to the closing date.   If entry forms are handed in without the relevant information, entry fees or after the closing date then regrettably they may be returned without being processed.
